3C Cowboy Fellowship Financial Secretary

Work Location: 3C Cowboy Fellowship, 16258 Gooseneck Road, Salado, TX 76571

Supervisor: This position is supervised by the Senior Pastor.

Training: This position will receive guidance and training from the Audit Team and others as appropriate.

Position Type and Hours: This is a part-time at-will position (20 hours total). Office hours are Monday -Thursday, 9:00 am – 1:00 pm or negotiable (16 hours total); the remaining 4 hours are flexible for occasional work on Sundays and during special events/times of the year. Any hours over 20 hours will be paid at the hourly rate with approval by the Senior Pastor/Elders 

Hourly Rate: $20.00 per hour

Evaluation: The position will have a performance review annually

Supervisor or Management Responsibilities: None 

Interview Requirement: Highly qualified candidates will be interviewed by the Personnel Team.

General Responsibilities:
This position is responsible for maintaining the confidentiality of all church and leadership activities, maintaining the confidentiality of personnel-related records, and properly securing those items. Additional administrative responsibilities include updating position-specific operation procedures and computer directories annually. This position is responsible for cross
training the Administrative Assistant/Receptionist to provide backup as needed. This position is responsible for keeping and maintaining a complete and accurate record of the church’s financial accounts and business.

Duties and Tasks:
• Record all contributions (milk cans and online) in Power Church (PC).
• Verify documentation/reports and deposits from the money counters.
• Deposit all monetary donations weekly.
• Reconcile all bank accounts; provide reports as needed.
• Record Journal entries for transfers between accounts on the balance sheet.
• Prepare reports using a provided checklist.
    o Bank reconciliations
    o Contribution statements for donors
    o 4th Quarter Form 941
    o W-2/W-3 forms
    o 1099 forms
• Pay all bills with proper documentation.
• Record all expenses in Power Church (PC).
• Point of contact with the payroll outsourcing company.
    o Secure employee timesheets
    o Verify information, then submit to payroll outsourcing company
• Record and document 3C contracts/agreements to include:
    o Bids, if applicable
    o Track hours
    o Process payments
• Generate monthly Power Church reports for Pastor, Elders, and appropriate team leaders.
• File and provide copies of all appropriate federal and other governmental payments.
• Print and distribute all required financial reports for elders, the audit team, and others.

* Employee may perform other related duties as assigned.

Minimum Requirements:
This position requires a High School Diploma or GED equivalent. Experience in accounting is preferred. The Financial Secretary must possess a friendly, positive attitude, be able to work with others, and maintain confidentiality.

Minimum Skills Required:
• English is the primary language.
• Proficiency in Microsoft Suite, including Word, Excel, Outlook, PowerPoint, and Publisher.
• Willingness to work a regular, fixed schedule.
• Must possess good listening, verbal, and writing skills.
• Ability to understand and interpret personnel policies and procedures.
• Ability to follow directions and work cooperatively with others.
• Training in the use of Power Church software will be provided.

CONDITIONS OF EMPLOYMENT:
This is a part-time, at-will position. The employee must be able to work indoors and occasionally outdoors as a team player. They must also be capable of completing exact and accurate work products with minimal direct supervision.
