3C Cowboy Fellowship Administrative Assistant
Work Location: 3C Cowboy Fellowship, 16258 Gooseneck Road, Salado, TX 76571
Supervisor: This position is supervised by the Senior Pastor.
Position Type and Hours- This is a full-time at-will position (36 hours total).Office hours are Monday -Thursday 9:00 am – 4:00 pm (28 hours + 30 min paid lunch = 30 hours); the remaining 6 hours are flexible office hours for occasional work on Sundays and during special events. Any hours over 40 hours will be paid at an overtime rate of one and half times the hourly rate.
Hourly Rate: $17.36 per hour (approximately 32.5K per year)
Supervisor or Management Responsibilities: None
Interview Requirement: Highly qualified candidates will be interviewed by the Personnel Team.
General Responsibilities:
Provides clerical and administrative support activities to support the needs of the 3C Cowboy Fellowship main office, to include administrative support to the Pastor. Maintains all administrative records of the church, including those related to correspondence with other church leaders and members. Responsible for maintaining confidentiality of all activities within the church to include Pastor counseling sessions, church financial matters, and tithing records. Assists with reviewing and updating the church membership records. Assists with volunteer coordination. The applicant must be able to move small to medium size boxes not to exceed 25lbs
Duties and Tasks:
• Document and record information through data entry, transcribing, recording, storing, or maintaining information in written or electronic form.
• Make copies of data and records, using photocopying equipment.
• Answer telephones and appropriately direct the calls or take clear messages.
• Locate, retrieve and provide files and information for authorized requestors.
• Provide administrative support to the Pastor and ministerial or staff.
• Check and distribute incoming mail.
• Update and maintain attendance records.
• Maintain meeting minutes and attendance sheets for teams, round pins, and small groups.
• Attend monthly leadership meetings.
• Prepare and maintain meeting minutes and agendas for the monthly leadership meeting.
• Monitor, maintain, and order office supplies as needed.
• Oversee and coordinate the work of office volunteers as directed by the Pastor.
• Assist in the production and preparation of the weekly bulletin and inserts.
• Assist the Pastor, small groups, teams and ministry staff with social media and web communications, to include posting the church calendar on website, Facebook and other social media sites.
• Prepare Visitor bags for first time visitors.
• Maintain the security and privacy of files and correspondence.
• Organize, plan, and prioritize work to meet specific goals.
• Secure background checks for employees/volunteers as necessary.
* Employee may perform other related duties as assigned.
Minimum Requirements:
This position requires a High School Diploma or GED equivalent. Previous administrative experience is preferred. The candidate must possess the ability to work with different types of people in a courteous and friendly manner. This position also requires the candidate to demonstrate attention to detail and possess a professional and positive attitude, good administrative abilities, organizational skills, and the ability to write emails, memorandums,
legible handwriting and demonstrate competent verbal communication skills. The ability to handle telephone communication in a competent and professional manner is required.
Minimum Skills Required:
• English as the primary language.
• Proficiency with Microsoft Suite including Word, Excel, Outlook, PowerPoint and Publisher.
• Experience using graphic design software and other related software is preferred.
• Experience with website design and function is a preferred.
• Willingness to work a regular, fixed schedule.
• Must possess good listening, verbal and writing skills.
• Ability to understand and interpret personnel policies and procedures.
• Ability to follow directions and work cooperatively with others.
• Training in the use of Power Church software will be provided.
